Privacy Policy

Xcodex Technology LLC ("we", "us") operates the Xwork desktop application and website (collectively, the "Service"). This Privacy Policy explains what we collect, why, and how we use it.

1. Information you provide

• Account information: email address and password when you sign up.
• Payment information: processed by Stripe, our payment provider. We do not store your card details; we only store the last 4 digits and the Stripe customer ID needed to issue refunds.
• Prompts and conversations: the text and files you submit to AI models through the Service.

2. Information collected automatically

• Usage data: token counts, model selection, request timestamps, and account balance changes — needed to bill accurately and provide usage reports.
• Technical data: application version, operating system, and crash logs — used to diagnose bugs and improve stability.
• IP address: recorded transiently for security (rate limiting, fraud detection) and discarded after 30 days.

3. How we use information

• To provide and operate the Service, including routing your prompts to AI providers and returning their responses.
• To bill you accurately and process refunds.
• To communicate with you about your account, billing, and important Service updates.
• To detect and prevent fraud, abuse, or violations of our Terms of Service.

4. AI provider data handling

To process your prompts, we transmit them to third-party AI model providers (such as OpenAI, Anthropic, and others). These providers process your prompts and return outputs according to their own privacy and data-handling policies. We do not control how these providers retain or use your inputs beyond what is required to deliver the model's output.

We do not use your prompts or outputs to train AI models. We do not sell your data.

5. Data we do not collect

• We do not access your local file system unless you explicitly grant the app permission to do so in a session.
• We do not run analytics scripts that track your browsing across other sites.
• We do not sell, rent, or share personal information with advertisers.

6. Data retention

• Account and billing records: retained while your account is active and for up to 7 years after closure, to comply with tax and accounting laws.
• Prompts and outputs: stored locally on your device by default. Anything you sync to the cloud (optional) is retained until you delete it.
• IP addresses and short-lived security logs: 30 days.

7. Your rights

Depending on where you live, you may have the right to:

• Access the personal data we hold about you.
• Correct inaccurate data.
• Request deletion of your data (subject to legal retention obligations).
• Export your data in a portable format.
• Object to or restrict certain processing.

8. International transfers

We are based in the United States. If you access the Service from outside the U.S., your information may be transferred to, stored in, and processed in the U.S.

9. Children

The Service is not intended for individuals under 18. We do not knowingly collect personal data from children. If you believe a child has provided us with information, please contact us so we can delete it.

10. Security

We use industry-standard measures (encryption in transit, encrypted database storage, access controls, security logging) to protect your information. No system is perfectly secure, but we treat your data with the care it deserves.

11. Cookies

Our website uses essential cookies only — for session management and security. We do not run third-party advertising cookies or cross-site tracking.

12. Changes to this Policy

We may update this Privacy Policy from time to time. We will post the updated version with a new "Last updated" date and, for material changes, notify you via the desktop app or email.
